Retreat booking terms

Your booking

Your place is reserved once your deposit has been received. You'll then receive a welcome email with a link to book a short welcome call with Emilie, which should take place within 2 weeks of booking. It's a chance to get to know each other, answer any questions and make sure the retreat is the right fit for everyone attending.

After your welcome call, you'll receive confirmation of your place along with options to pay your remaining balance in full or through an agreed payment plan.

If, after the welcome call, we feel the retreat isn't the right fit, we'll refund everything you've paid, including your deposit.

Deposit

Your deposit secures your place on the retreat. It is non-refundable, except where BFF Lesbian Social Club cancels the retreat or declines your booking after the welcome call.

Remaining balance

Your remaining balance is due 60 days before the retreat, unless you've agreed a payment plan with us. Your payment schedule will be confirmed after your welcome call.

Late payments

It's your responsibility to make sure agreed payment dates are met. Payments received after the agreed due date may incur a £10 late fee, which will be added to your balance.

If you need to cancel or change

Please let us know in writing as soon as possible.

• More than 60 days beforeWe'll refund everything you've paid except your deposit.
• Up to 60 days beforeYou can move your booking to any other 2027 retreat with space, free of charge. Everything you've paid moves with you. If the new retreat costs more, you pay the difference.
• Up to 14 days beforeYou can pass your place to a friend. They'll have a welcome call with Emilie before the place is transferred.
• Less than 14 days beforeWe can't offer refunds, transfers or changes.

If you're on a payment plan, you remain responsible for any payments due before your cancellation date. We strongly recommend travel insurance with cancellation cover.

Minimum numbers & cancellation by us

Each retreat needs a minimum number of guests to run. If we cancel a retreat because of low bookings or circumstances beyond our control, everything you've paid to BFF Lesbian Social Club will be refunded in full.

We can't cover travel or other costs you've arranged yourself, so we recommend booking flexible travel.

Changes to the programme

Weather, safety or other circumstances on the day may mean we adapt the schedule or swap an activity. We'll always do our best to keep the spirit of the retreat.

Taking part

Please make sure you're comfortable with the activity level of your retreat. If you're unsure, ask on your welcome call, and check with a medical professional if you have any health concerns. During activities, please follow the guidance of Emilie and our guides.

We may ask a guest to leave if their behaviour affects the wellbeing of the group. In that case, no refund will be given.

Rooms

If you're sharing a room, we match room-mates based on sleep, noise and temperature preferences. We'll always do our best, but we can't guarantee specific pairings.

Photos

Before the retreat, we'll ask whether you're happy to be photographed. If you'd rather not, we'll do our best to keep you out of anything we share online.

Your information

After your welcome call, we'll ask you to complete a short guest form. This covers things like room preferences, dietary requirements and allergies, photo consent and emergency contact details. We use this information only to organise your retreat, and share relevant details (such as dietary requirements with our chefs) only with the people who help run it.

Liability

Outdoor activities carry some natural risk, and you take part at your own discretion. We're not responsible for loss of or damage to personal belongings, or for injury, except where caused by our negligence. Our liability is limited to the amount you paid for your retreat.
